Make an impact at a dynamic and growing life sciences company. Invicro seeks a Proposal and Contracts Support with the ability to deliver winning proposals to pharmaceutical and biotech clients.   



The Proposal and Contracts Support supports the Business Development team and Account Management structure by developing proposals solutions for client Requests for Proposals (RFPs).  This role serves as an internal point of contact for the Business Development team and reports to the Manager, Proposals and Contracts.


Key Responsibilities:

  • Work with Business Development, Program Management and Marketing and internal Subject Matter Experts (SMEs) to create compelling proposals that effectively position Invicro solutions to meet the needs of clients and prospects.
  • Support the request for proposal (RFP) process, from RFP analysis and requirements documentation, to solution definition, scheduling of RFP review meetings, content provider identification, draft development, and final proposal production and delivery.
  • Maintain proposal templates and databases to ensure all material remains updated and is complaint with legal, licensing, branding and marketing positioning standards.
  • Manage and maintain the pricing templates used to generate costs associated with RFP responses and Change Order (CO) generation and engage with relevant stakeholders to update relevant spreadsheets as needed.
  • Supports Legal department with the execution cycle of contractual documents.
  • Direct day-to-day proposal management activities including the updating and management of proposal documents into iCRO, maintaining Request for Information (RFI) repository, and proposal reporting.
  • Acts as a resource in the business development process as needed, assisting team members.

Qualifications and Skills:

  • Strong written and verbal communication skills

  • Outstanding organizational and prioritization skills
  • Ability to write compelling solution proposals in a collaborative environment.
  • Healthcare industry experience in a service organization essential.
  • Prior experience with pharmaceutical companies and major biotech clients.
  • Superior editing, proofreading, and writing skills.
  • Ability to effectively manage the proposal process, from defining the solution and response strategy, to managing and reconciling input from subject matter experts, and ensuring final proposal is delivered on time and to specifications.
  • High level of proficiency in Microsoft Word, Excel and PowerPoint skills
  • Strong organizational skills, a high level of accuracy and attention to detail.
  • Self-starter with ability to learn independently, proactively search for information, and able to work with all levels of the organization.
  • Effectively works under pressure and takes responsibility to ensure that plans are delivered to budget and time.
  • Experience working in a cross-matrixed organization with remote team members.   

Experience and Education:

  • Bachelor’s degree required with a major in Business, English, Communications, Journalism, or Marketing preferred.
  • Ideally 5 years’+ experience developing proposals and pricing/cost budget development in the pharmaceutical industry, CRO or related field.
  • Must have familiarity with sales process, including experience working with sales organizations.
  • Knowledge of clinical imaging is preferred, but not required.
